Assign scenarios
Assignment is how you put a scenario in front of a specific learner (or several). Promotion makes a scenario available to your cohort; assignment tells named learners “this one, now”. The learner sees the assignment on their home with the due date, and reminders fire if the date slips.
Before you begin
- The scenario is Validated and Live in your org. If it is Draft, In Review, or has not been promoted to your cohort yet, you cannot assign it. See scenario lifecycle.
- The learners you want to assign to are part of your cohort.
Pick the scenario
Open the assignments view and click “New assignment”. Search by scenario title, field, or sub-competency. The picker only lists scenarios that are Validated and Live in your org — you cannot assign a draft.
Pick learners
Multi-select from your cohort. The picker shows each learner’s current level on the dimensions this scenario exercises, so you can see at a glance whether the scenario fits the person. Assigning a Novice-band scenario to a learner already at Competent on every dimension is allowed but rarely useful.
Set a due date
Optional, but recommended. Without a date the assignment never goes overdue, never triggers a reminder, and tends to drift. With a date:
- The learner sees the date on their home.
- A reminder fires automatically as the date approaches.
- After the date, the assignment is overdue and surfaces in the overdue queue. See manage overdue work.
You can also write a short note that appears on the learner’s home under the assignment — context for why this scenario, why now.
What the learner sees
The scenario appears on their home in Assigned scenarios, with the due date and your note. Clicking it opens the situation; from there the learner runs the engagement as usual. See run an engagement.
When something goes wrong
- You can’t find the scenario in the picker. It may not be promoted to your cohort yet. Ask your admin to promote it — see promote scenarios.
- The learner doesn’t see the assignment. Confirm they are in the cohort under your trainer profile, and that they have signed in since you assigned. Page reloads on sign-in pull the latest.
- You assigned the wrong scenario. Cancel the assignment from the assignments view. The learner sees it disappear from their home; if they had not started yet, no engagement record is left behind.
- You meant a different learner. Cancel and reassign. Editing the recipient on a live assignment is not supported — cancel is the clean path.
