Invite members
Members are the users in your org. Each member carries one or more roles: Learner, Trainer, Field expert, or Org admin. See the four roles for what each one is responsible for; one person can hold several at once.
Before you begin
- You hold the Org admin role.
- You have the email addresses of the people you want to invite.
- For Field expert invitations, the relevant field is already subscribed (see subscribe a field).
Step 1 — Open the members page
From your home, go to the members page. You’ll see a single table that lists active members and pending invitations together. Active members show their role pill; invitations show as Pending until the invitee accepts.
Step 2 — Send the invite
Click Invite member. Enter the invitee’s email and pick the role(s)
they should hold. The invitee receives a sign-up link by email. Roles
are set at invite time but you can edit them afterwards from the row
actions menu.
The role pill in the members table tells you each member’s primary role at a glance — admin, trainer, expert, or learner. Members with several roles surface their highest-trust role in the pill; their other roles are visible in the row detail.
Step 3 — Cohorts and trainer assignment
A cohort is a group of learners with one primary trainer. Co-trainers are allowed, but only the primary trainer’s verdicts are canonical for that cohort — the platform stamps verdicts with the primary trainer’s identity, and the audit trail records who that was at the time of the verdict. When you reassign the primary trainer of a cohort, in-flight evidence completes under the previous trainer; new evidence routes to the new one.
When something goes wrong
- The invitee never received the email. Check the row in the members table — Pending means the link was issued but not yet accepted. Use the row actions to resend the invitation, or copy the invitee’s email and confirm with them out of band.
- You assigned a role but the user can’t see the surface. Roles are read at sign-in. The user may need to sign out and back in for the new role to take effect.
- You can’t revoke a member. Revoking a member with in-flight trainer verdicts requires reassigning the cohort first — verdicts are bound to the trainer who issued them, and the platform won’t orphan them.
- An invitation was sent to the wrong email. Use the row actions on the pending invitation to cancel it, then issue a fresh invite to the correct address.
